By attending the emx Conference you agree to be bound by these Terms and Conditions. The
operative effect of these Terms and Conditions apply at all times during, prior to and after the
event, and will continue to survive so as to give effect to these terms and conditions on
attendees, speakers, staff, sponsors, exhibitors, volunteers, and assigns, before, during and on
termination or completion of the conference.
1.1. Registration and attendance is open to health professionals. The Organiser reserves
the right to refuse attendance of any person or persons.
1.2. Registration and ticketing may be handled by a third-party. By registering you
agree to be bound by the rules of that third-party.
1.3. The Organiser reserves the right to change the fee. No claims may be permitted if a
fee change occurs.
1.4. Registration is confirmed only upon full payment.
1.5. Ticket transfers will be permitted but subject to the rules of the third-party ticketing
agent and payment of any costs to transfer.
1.6. Attendees must provide accurate details for all information requested at
registration.
1.7. Admission requires valid confirmation and identification.
1.8. The Organiser may, before granting registration, request further information from
the attendee, including their work credentials and experience, details of their
intended travel arrangements and any other detail the organiser may deem
necessary for the efficient and safe running of the event.
1.9. The Organiser strongly recommends all attendees obtain and maintain
comprehensive travel insurance which covers overseas medical expenses, medical
evacuation, personal accident, personal liability, loss of baggage and personal
effects, and cancellation or curtailment. The organiser does not provide insurance
for attendees and will not be responsible for loss by attendees whatsoever.
Attendees’ participation is done so at their own risk.
1.10. The Organiser reserves the right to cancel any registration at its sole discretion, by
providing written notice of its decision to cancel that registration.
1.11. emx Conference may cancel all or any part of the event, or reschedule the event at
its discretion. If cancelled, by emx Conference ticket fees will be refunded in full.
1.12. The organiser may postpone the event. In such event all registrations will be
transferred to the rescheduled event.
2.1. The emx Conference is scheduled to be held at Marriott Resort and Spa, 700 Matara
Road Pelan, Weligama, 81700, Sri Lanka.
2.2. The indicative dates of the conference are June 30, July 1, July 2, 2026.
2.3. The Organiser may alter schedules, speakers, topics, format, or venue without notice.
2.4. Any changes to the schedule do not entitle attendees to refunds or compensation.
2.5. The organiser may facilitate additional events during the conference, including
evening sessions.
2.6. The information presented is intended to be informative and educational in nature.
The organiser accepts no responsibility for information presented by speakers which
may be deemed inaccurate, false, or offends any attendee or persons present or
otherwise.
2.7. Copyright of all materials remains with the Organiser.
2.8. Rights of all intellectual property shall vest in the Organiser.
2.9. The Organiser will not be liable for any breach of Copyright or any Intellectual
Property infringement committed by speakers, presenters, sponsors, or any attendee.
3.1 Attendees are responsible for their own travel and accommodation, including all air
travel, transfers, hotels.
3.2 The Organiser provides general information on travel requirements, activities and
services available at the destination and during the event; attendees must make
independent decisions and arrangements on those. The Organiser will not be liable
for any loss as a consequence of using or participating in those activities and
services.
3.3 Third-Party Services: The Conference may involve services supplied by third
parties such as airlines, hotels, transportation companies, tour operators and caterers
(“Third-Party Providers”). These Third-Party Providers are independent contractors
and are not agents, partners or employees of the Organiser. Any terms and conditions
of Third-Party Providers are solely between you and the relevant provider. The
Organiser is not liable for any act, omission, error or negligence of any Third-Party
Provider or for any loss, damage or delay suffered by you in connection with
services provided by them.
3.4 It is the responsibility of attendees to ensure they have the correct and valid visas,
passports and other travel documents required.
3.5 It is the responsibility of the attendee to ensure any mandatory vaccination for the
country they will visit if applicable.
3.6 The Organiser does not make any representations and will not be liable for any
claims associated with loyalty programs of service providers (hotels, airlines, other).
3.7 Comprehensive travel insurance is strongly recommended. The organiser will not be
held liable for any claims to persons or property whatsoever.
3.8 By registering, you confirm that you are medically fit to travel and attend the
Conference. You acknowledge that travel to Sri Lanka may expose you to health
risks. You are responsible for consulting a healthcare professional and obtaining any
recommended vaccinations or medications for your intended travel. It is
recommended that you refer to the SmartTraveller website https://www.smartraveller.gov.au/ (or the equivalent in your home country) for
additional information on travel to the countries you intend to visit.
3.9 You agree not to attend the Conference if you are unwell or have symptoms of a
communicable disease and that the Organiser may refuse entry or require you to
leave if you appear ill or pose a health risk. No refund will be provided in these
circumstances.
3.10 Attendees agree to be bound by the laws and regulations of the host country and any other country visited either in transit or as a visit before, during or after the event.
The organiser will not be liable if any attendees are detained, or any other interaction
with the regulatory regime of that country.
3.11 Registration does not entitle attendees to work in any capacity in the foreign country.
This may extend to volunteer or charitable activity. The Organiser shall not be liable
in the event that an attendee engages in unauthorised or illegal employment or work
in any capacity. Any intention to engage in such activities will be the responsibility
of the attendee.
4.1 The Conference is committed to a harassment-free environment for all.
4.2 Professional, respectful behaviour is expected. Harassment, intimidation, bullying,
any uninvited physical or verbal contact will not be tolerated.
4.3 The Organiser may remove disruptive or inappropriate participants without refund.
4.4 Attendees agree to be bound by the policies of the host venue, to follow any direction
or instruction of hotel or Organizer employees or volunteers.
4.5 Attendees agree to indemnify the Organiser if they do any individual action or actions
which result in the Organiser being exposed to legal or commercial risk.
4.6 Attendees acknowledge that during the event or ancillary events, the serving and
consumption of alcohol may be present. The Organiser shall not be liable for incidents
that arise from the consumption of alcohol whatsoever.
5.1 The Organiser makes no representation or assurances on any venue or location being
free of any exposure to communicable diseases.
5.2 The Organiser makes no representation or promise of the availability of any product,
service or offering, which an attendee may require for any purpose.
5.3 Attendance at the Conference, travel to and from the Conference and participation in
any associated events are at your own risk. To the maximum extent permitted by law,
you waive any and all claims, actions or demands you may have against the
Organiser, its directors, officers, employees, volunteers and agents for any injury
(including death), loss, damage or expense arising out of or in connection with your
attendance or participation. This clause does not operate to exclude any warranties or
consumer guarantees that cannot be excluded at law. This indemnity will survive any
assignment.
5.4 Every effort will be taken by the Organiser and the host to ensure a safe event for all.
Nevertheless attendees with allergies or dietary requirements will be solely
responsible for their own health and well-being and will not hold the Organiser or any
other person responsible for any injury or illness sustained during the event.
5.5 Attendees must comply with health and safety requirements in place at the time.
5.6 The Organiser may implement an emergency and crisis management plan in
collaboration with the venue and local authorities. Attendees must familiarise
themselves with emergency exits and procedures and must follow all instructions
issued by the Organiser, venue staff or emergency services in the event of an
emergency, evacuation or critical incident. Attendees acknowledge that medical
services or costs of such services may differ from those of Australia or their home
countries. Attendees are responsible for any such costs and should ensure adequate
insurance cover.
5.7 In the event of any medical emergency, the Organiser will not be responsible for
providing medical services, treatments, repatriation or any other needs, irrespective if
the requirement was as a direct result of the participation of the event or otherwise.
6.1 By attending the Conference, you grant the Organiser and its designees the right to
photograph, film and record you and to use your likeness, voice and image for any
lawful purpose in any social media or other reproduction, without payment of
compensation.
6.2 If you do not wish to be recorded, you must notify the Organiser in writing at least
seven (7) days before the Conference; however, the Organiser cannot guarantee
exclusion from all recordings or photographs, and you may be required to exclude
yourself from certain areas or sessions
7.1 It is intended that CPD points will be granted through ACEM and ACRRM, if
approved by those organisations.
7.2 It is the responsibility of attendees to determine if the event qualifies for CME.
7.3 Certificates are issued only to attendees who meet participation requirements.
7.4 CPD points are listed on event pages; where not stated, none have been applied for.
7.5 CPD points are subject to change based on accreditation body regulations and
may differ from initial statements or advertisements.
7.6 Attendees are responsible for ensuring that their participation in the Conference
satisfies the continuing professional development requirements of their professional
bodies. The Organiser makes no representation that participation will meet any
specific accreditation requirement and is not responsible for obtaining or reporting
CPD points on behalf of attendees.
7.7 The Organiser will not be held responsible for technical issues, system outages, data
breaches, which prevent the granting of the CPD Points.
8.1 Personal information is used solely for event management and in line with our
Privacy Policy.
8.2 Data is not sold or shared except where necessary for event delivery.
8.3 The Organiser will handle personal data in accordance with the Australian Privacy
Act 1988 (Cth) and the Sri Lankan Personal Data Protection Act 2022. By
registering, attendees consent to the collection, storage and processing of their
personal information for the purposes described herein and to its transfer to service
providers located in Australia, Sri Lanka and other jurisdictions as necessary to
deliver the Conference. Attendees have rights to access, correct or request deletion
of their data and to withdraw consent, subject to legal and contractual obligations.
Withdrawal of consent may affect the Organiser’s ability to provide services and
may result in cancellation of registration without refund.
9.1 The Organiser is not liable for injury including death, loss, or damage incurred
during prior, or after, the Conference, to any attendee, participant, volunteer,
speaker, visitor, employee or guests whatsoever.
9.2 Liability is limited to the ticket price paid.
9.3 Organiser does not hold any liability for attendees losses, including equipment,
personal possessions, injuries, or any direct or indirect losses, or loss of profit
from attending the conference.
9.4 Attendees agree to indemnify and hold harmless the Organiser, its directors,
officers, employees, agents and volunteers from and against any claims, damages,
liabilities, costs and expenses (including legal fees) arising out of or in connection
with (a) the attendee’s breach of these Terms and Conditions; (b) any negligent,
unlawful or wilful act or omission by the attendee; or (c) the attendee’s failure to
comply with local laws or regulations.
10.1 Social events (e.g. Gala Dinner) may be sold separately.
10.2 Guest participation may require pre-purchased tickets, separate to the conference
ticket.
10.3 Attendance to these is optional. The organiser shall not be responsible for any
injury or loss of any nature resulting in attendance to those events.
11.1 A no-show or non-attendance at the conference or any part of the conference does
not attract a refund.
12.1 Organiser will make all reasonable efforts to accommodate accessibility needs
notified at the time of registration. The onus is on the participant to provide details
of such requests.
12.2 The attendee will not hold the organiser liable if the request cannot be
accommodated or supplied.
13.1 These Terms and Conditions are subject to the Australian Consumer Law. Any
provision deemed unfair under the law will be severed from these Terms, and the
remainder will continue in full force and effect.
13.2 This Agreement is governed by and construed in accordance with the laws of
Victoria, Australia. All parties submit to the exclusive jurisdiction of the courts of
Victoria and any courts that may hear appeals from those courts in respect of any
proceedings in connection with this agreement.
14.1 The Organiser reserves the right to amend these Terms and Conditions at any
time by publishing an updated version on the Conference website and/or notifying
registered attendees by email. Continued participation after such notice
constitutes acceptance of the amended terms.
14.2 If an amendment materially and adversely affects your rights or obligations, you
may cancel your registration within seven (7) days of notification and receive a
refund of the registration fee, less any unrecoverable costs incurred by the
Organiser.
15.1. The Organiser will not be liable for failure to run part or all the event/s due to
circumstances beyond its control, such as natural disasters, pandemics, government
restrictions, wars, industrial strikes, riots, other unforeseeable events.
15.2. Tickets remain valid for rescheduled events within three (3) years or may be
converted to a virtual event. Refunds may be considered at the Organiser’s discretion.
15.3. The Organiser may, as a result of a Force Majeure event, reschedule all or part of the
conference to virtual or hybrid, with no compensation payable to registered attendees.
We may update this policy periodically. The latest version will always be available on our
website.
• “Event” means emx Conference scheduled for (dates), at (venue, city, country).
• “Organiser” means Serenmed Pty Ltd, ACN 687 831 376.
• “Attendee” means any person either who attends, including but not limited to, a ticket
holder, a guest of another attendee or the Organiser, a visitor, a sponsor, an exhibitor,
a speaker or presenter, an employee of any organisation, a volunteer, irrespective if a
ticket has been purchased.
16.1 This provision applies to all attendees, guests, participants, speakers, volunteers.
16.2 Your participation is voluntary only; the organiser makes no representation or
promise to cover your costs actually incurred or demanded as a result of your
attendance or participation.
16.3 Speakers, presenters and attendees must comply with the professional and
regulatory rules governing their licence, certification or accreditation in any
jurisdiction in which they are registered. The Organiser does not accept
responsibility for any breach of such rules by speakers or attendees and may
remove or refuse participation to any individual who fails to comply.
16.4 All speakers, presenters or those providing demonstrations, must have and provide
evidence of their professional indemnity insurance which extends to participation
in non-clinical events wherever it occurs.
16.5 You agree to not hold the Organiser, its employees, agents, assigns, liable for any
claimed loss of enjoyment, breach of promise, representation or misrepresentation,
however it occurs.
16.6 The Conference is an educational event and does not involve diagnosis, treatment
or provision of health services. Attendees must not provide medical advice,
perform clinical procedures or participate in patient care during the Conference or
any site visit. Any demonstrations will be simulated only. If an attendee engages in
unauthorised clinical activity, they do so entirely at their own risk and agree to
indemnify the Organiser from any claims, losses or liabilities arising from such
actions.
16.7 Volunteers are engaged at their own risk; no employment relationship or
contractual relationship, express or implied, exists.
